Did one of your Outlook inbox columns suddenly disappear? It’s surprisingly easy to accidentally remove columns like Subject, From, or Received, making it much harder to manage your email.

Breaking Down the Concepts

What Are Inbox Columns?

Inbox columns are the headings across the top of your message list. They display information about each email before you open it.

Common columns include:

  • From
  • Subject
  • Received
  • Size
  • Categories
  • Attachment

You can choose which columns appear and in what order.

Why they’re useful

The right columns make it easier to scan your inbox, prioritize messages, and quickly find the information you’re looking for.


The Columns Dialog

The Columns window controls which columns are displayed.

From here you can:

  • Add new columns
  • Remove columns
  • Rearrange their order
  • Browse additional categories of available fields

Why it’s used

Instead of resetting your entire inbox view, you can simply restore the missing column or customize your layout.


Frequently Used Fields

When the Columns window opens, it displays Frequently-used fields by default.

This list contains many of Outlook’s most common inbox columns, including:

  • Subject
  • From
  • Received
  • Size
  • Importance

If you don’t see the field you’re looking for, you can browse other categories such as Address fields, All Mail fields, or All Contact fields.


Column Order

After adding a column, Outlook places it at the end of the list by default.

Use the Move Up and Move Down buttons to position it where you’d like it to appear.

Why it’s useful

Placing frequently used information—such as Subject and From—near the beginning of the message list makes your inbox easier to read.


Step-by-Step Instructions

Restore a Missing Column

  1. Open Outlook.
  2. Right-click any existing column heading in your inbox.
  3. Select View Settings.
  4. Click Columns.
  5. Under Available columns, locate the missing column (such as Subject).
  6. Click Add.
  7. Use Move Up or Move Down to place it where you want.
  8. Click OK.
  9. Click OK again.

Your missing column should now appear in your inbox.


Add Additional Columns

The same process can be used to display other information, including:

  • CC
  • To
  • Categories
  • Size
  • Importance
  • Conversation
  • Attachment status

Customize the view to show whichever information is most helpful for the way you work.


Additional Tips

If Several Things Look Wrong

If multiple columns or other inbox settings have changed, you may have accidentally modified your current view. Resetting the view can sometimes be faster than restoring each column individually.

Be Careful When Dragging

Outlook makes it surprisingly easy to remove a column by dragging it away from the header row. If a column suddenly disappears, don’t panic – it can be restored through View Settings → Columns.
