Note: This solution applies when you manage the Jira site or space and have permission to change its membership. If you use Jira through an employer, school, or another organization, contact your Jira administrator for assistance.

If the Delete option is missing when you open a Story in Jira, the problem may be that you have not been added as a user within that space – even if you created the Jira site or board yourself.

That is what happened while I was setting up my own Company-managed Jira space. I could create and update Stories, but I could not delete a test Story because I had not added myself to the space’s People list. After adding myself as an Administrator and refreshing the board, the Delete option appeared.

In this tutorial, I’ll show you how I identified and fixed the problem in my Jira environment. Your permissions may be managed differently if you use Jira through an employer, school, client, or another organization.

Quick Answer

In my Jira environment, I restored the missing Delete option by:

  1. Opening the space settings.
  2. Navigating to People.
  3. Adding myself to the space as an Administrator.
  4. Returning to the board and refreshing the page.

Deleting a Jira work item requires the Delete work items permission. Adding yourself to an administrative role may grant that permission in a space you control, but the exact access associated with each role depends on the Jira environment’s configuration.

Before You Begin

These instructions reflect a specific setup:

  • Jira Cloud
  • Company-managed space
  • A Jira site I created and administer
  • A space where I was initially the only participant
  • Access that allowed me to add myself to a space role

If Jira belongs to an employer, school, client, or another organization, you may not be able to add yourself or change your role. Contact the Jira or space administrator and ask whether you have the Delete work items permission.

You generally need to be a Space administrator to add people to roles in a Company-managed space. Atlassian’s documented path is Space settings → People → Add people.

Why This Happens

Being able to open or configure a board does not necessarily mean you have permission to perform every action on its Stories.

Jira separates several concepts:

  • Site access: Whether you can use the Jira site.
  • Space access: Whether you have been added to a particular space.
  • Space role: The role you have within that space, such as Administrator or User.
  • Permissions: The specific actions your role or account is allowed to perform.

The relationship can be summarized like this:

Access the Jira site
        ↓
Be added to the space
        ↓
Receive a space role
        ↓
Use the permissions granted to that role
        ↓
Delete work items, if permitted

A board administrator can configure a Company-managed board, but deleting a Story requires the separate Delete work items permission in the space where that Story was created.

Administrator Versus User

In my setup, I added myself as an Administrator because I created the site, manage the space, and am currently its only user.

A person assigned the User role may also be able to delete Stories, but only when that role has been granted the necessary permission. The role name by itself does not guarantee that deletion is allowed.

Step-by-Step Instructions

Step 1: Confirm delete story is not an option

  • From Kanban board view:
    • Click on the 3 dots to the right of the story name to view more actions
    • Confirm that delete does not appear on this list
  • From Story view:
    • Click on the 3 dots on the top right to view actions
    • Confirm that delete does not appear on this list

Step 2: Navigate to Space Settings

  • Click on the 3 dots next to the board/space name to view options
  • Click on board settings (I opted to open this in a new tab so I could easily return)
  • Click on view space settings in the left sidebar navigation

Step 3: View current users & add yourself to the space

Confirm whether you’re a current user in the space:

  • Click on people in the left sidebar navigation
  • If you are not listed as a current user, this is likely why you cannot delete a story

Add yourself as a user in the space:

  • Click on Add people
    • Name: Start typing your name into the names field and add your user account
    • Role: Select administrators as the role
  • Click Add 1 person
  • You will now appear in the current users list as an administrator

Step 3: Confirm that you can now delete stories

Return to your board/story and reload the page to ensure the new permissions have been updated.

You should now be able to delete stories.

If This Doesn’t Work

Confirm You Have the Correct Permission

Adding yourself to the space will not necessarily solve the problem if the role you selected does not include Delete work items permission.

Contact Your Jira Administrator

If you cannot access Space settings, People, or Add people, your account probably does not have authority to manage space membership. Contact the person who manages Jira for your organization.

Make Sure You’re Checking the Correct Space

Jira permissions are associated with spaces. Access in one space does not necessarily provide the same capabilities in another.

Refresh or Reopen Jira

After changing your access, return to the board and refresh the browser before checking the Story menu again.

Delete Carefully

Deleting a work item permanently removes its associated information. For legitimate work records, moving an item to a completed status is usually better than deleting it. Deletion makes more sense for test Stories, accidental duplicates, or items created by mistake.
