Keeping track of job opportunities can become complicated quickly. Each role may involve different contacts, documents, interviews, follow-ups, and deadlines, and it is easy for important details to become scattered across emails, notes, and files.
To make the process easier, I created three reusable job opportunity templates:
- Minimalist for quick and simple tracking
- Standard for a balanced level of detail
- Maximalist for a complete record of each opportunity
These templates were created for my Jira Job Search Tracker to be used in a template story in Jira, but they can also be used in OneNote, Notion, Word, Google Docs, or almost any other tool where you keep job-search notes.
Choose the version that best fits your needs, or start with the maximalist template and remove anything you do not plan to use.
How to Use These Templates
Each template is designed to serve as the main record for one job opportunity.
You can:
- Copy the full template into a Jira Story
- Paste it into a OneNote page or document
- Remove sections you do not need
- Add your own prompts or categories
- Save the customized version as your personal reusable template
For Jira, I recommend creating three template Stories and storing them in the Kanban backlog:
- TEMPLATE – Job Opportunity – Minimalist
- TEMPLATE – Job Opportunity – Standard
- TEMPLATE – Job Opportunity – Maximalist
When you find a new job, clone the version you want to use and update the copy with the details for that opportunity.

Minimalist
Best for users who want a fast, simple way to save the most important information without maintaining a large record.
Standard
Best for most job seekers. It includes enough structure to track applications, contacts, interviews, documents, and decisions without becoming overwhelming.
Maximalist
Best for users who want a complete case file for each opportunity or want a master template they can customize and reduce over time.

Using Jira Comments as a Job Activity Log
The Story description should contain the main information about the opportunity: the job details, company research, contacts, documents, questions, and current next steps.
Use the comments section to record what happens over time.
Each time you apply, receive an email, complete an interview, send a follow-up, or provide additional materials, add a dated comment. This creates a simple chronological history of the entire opportunity.
For example:
July 18
Submitted application through the company website. Attached the resume and cover letter used.
July 22
Recruiter emailed to schedule a phone screen for July 24.
July 24
Completed recruiter screen with Jane Smith. Discussed salary expectations, remote work, and team structure. Next step is a hiring manager interview.
This approach separates two kinds of information:
- Story description: What you need to know about the job
- Comments: What happened and when
That makes the Story easier to scan while preserving a complete timeline.

A Simple Starting Recommendation
People new to Jira or job tracking should probably begin with the Standard template.
Use the Minimalist version if the Standard template feels like too much. Use the Maximalist version when you want detailed research, comparison, and decision-making information.
The goal is not to complete every field. The goal is to create a system that helps you stay organized and makes it easy to understand where each opportunity stands.
