When something goes wrong on a computer, it can be tempting to click the same button again, close the error message, or assume something is broken. But troubleshooting is really just a process of gathering clues and trying logical steps to figure out what is happening.
You do not need to be a computer expert to troubleshoot effectively. In many cases, the most useful skills are simply knowing what to look for, what to try first, how to search for help, and when to stop and ask someone else.
In this guide, we’ll walk through a simple troubleshooting process you can use for many common computer problems.
What Does Troubleshooting Mean?
Troubleshooting is the process of figuring out why something is not working as expected and trying steps to fix it. You do not have to know the cause of the problem immediately.
A basic troubleshooting process often looks like this:
- Notice what went wrong.
- Gather any clues.
- Try a simple fix.
- Test again.
- Use what you learned to decide what to try next.
This same general process can be used for many problems, whether a webpage will not load, a file will not open, a program freezes, or a printer is not working.
Notice → Check → Restart → Narrow Down → Search → Test → Ask for Help
First, Notice What Happened
Before you start changing things, take a moment to identify what actually went wrong.
Ask yourself:
- What was I trying to do?
- What happened instead?
- Did I see an error message?
- Did the program freeze?
- Did something fail to load?
- Has this worked before?
- Did anything recently change?
For example, instead of thinking: Word is broken.
Try to be more specific: I clicked Save in Word, but the file did not save and an error message appeared.
That gives you much more useful information and helps you communicate more effectively with others who can help you.
Read the Error Message
Error messages can be frustrating, but they often contain important clues.
Before closing an error message, look for information such as:
- what failed
- what the program is asking you to do
- an error code
- a filename
- a website address
- a reference to permissions
- a reference to storage
- a reference to a connection
- a sign-in or account problem
If the message is long or confusing, you can:
- take a screenshot
- take a photo with your phone camera
- copy the exact text
- write down any error code
You may need that information later when searching for a solution. And while the information may not mean much to you, if you’re working with an IT admin, the error message could point them directly to the issue to help resolve it more quickly.
Don’t Keep Repeating the Same Action
If something fails once, trying again may make sense. If it fails in exactly the same way several times, repeatedly clicking the same button probably will not solve the problem unless something else changes.
For example, if a file refuses to upload and shows the same error every time, clicking Upload ten more times is not really troubleshooting.
Instead, use the error as a clue and move to the next step.
Start With the Simplest Checks
Before trying anything complicated, check the obvious possibilities. These simple steps solve more problems than you might expect.
Check for typos
Look carefully at things such as:
- passwords
- email addresses
- website addresses
- filenames
- formulas
- commands
A single incorrect character can prevent something from working.
Check physical and wireless connections
Depending on the problem, check things like:
- Is Wi-Fi connected?
- Is the cable plugged in?
- Is the printer turned on?
- Is Bluetooth enabled?
- Is the external drive connected?
- Is the device charged?
Try the action again once
Sometimes a webpage, network connection, or program temporarily fails.
Trying again once is reasonable. If the same problem happens again, start investigating rather than simply repeating the action.
Close and reopen the program
If only one application is behaving strangely, close it and open it again. This can clear temporary problems within the program.
Restart the computer
Restarting can resolve many temporary issues by closing programs and processes and starting them again fresh.
Restarting is different from simply closing your laptop lid or putting the computer to sleep.
If you are troubleshooting a strange or temporary problem, a full restart can be a useful early step.
Is the Problem Affecting One Thing or Everything?
One of the most useful troubleshooting questions is: How much is actually broken?
Try to narrow down the problem.
If one website will not load
Try opening another website. If other websites work normally, your internet connection may be fine and the problem may be with the original website.
If one file will not open
Try opening another file of the same type. If other files open normally, the problem may be with that specific file.
If one program is not working
Try another program. If everything else works, the issue may be limited to that application.
If nothing is working
If multiple programs, websites, or devices are failing, the problem may be broader.
This process of narrowing down where the problem occurs is sometimes called isolating the problem.
You do not need to remember that term. The important idea is simply figuring out whether the problem affects one thing or many things.
Think About What Changed
If something worked yesterday but does not work today, ask whether anything changed.
For example:
- Was software updated?
- Did you install a new program?
- Did you change your password?
- Did you move or rename a file?
- Did you disconnect a device?
- Did you install a browser extension?
- Did you change a setting?
- Did your computer restart?
A recent change is not automatically the cause, but it can be a useful clue.
Search the Exact Error Message
When you need help, searching the exact wording of an error message can be much more useful than using a vague description.
For example, this search: Word won’t save
may produce many unrelated results.
If the message says: Word cannot complete the save due to a file permission error
searching that exact wording may produce more targeted results.
You can also search for an error code if one is provided.
Using quotation marks around exact wording can sometimes help: “Word cannot complete the save due to a file permission error”
You can also add context such as your program or operating system: “Your connection is not private” Chrome Windows 11
The more accurately your search describes the actual problem, the more likely you are to find a useful solution.
Look for Reliable Sources
Not every troubleshooting result you find online is equally useful.
Good places to start include:
- official Microsoft support
- official Apple support
- official Google support
- documentation from the company that created the software
- reputable technical support websites
- forums where someone describes the same problem in detail
Before following instructions, make sure the solution applies to:
- your operating system
- your software
- your version
- your specific problem
Be cautious with results that tell you to:
- download unfamiliar repair software
- disable security features
- delete system files
- make major changes without explaining what they do
Use AI as a Helper, Not Your Only Source
AI tools can be very useful for troubleshooting.
You can ask AI to:
- explain an error message in plain language
- suggest possible causes
- help you think through basic troubleshooting steps
- help you create a better search query
- explain technical documentation
However, AI can also make mistakes.
It may:
- misunderstand your situation
- suggest instructions for the wrong software version
- describe settings that do not exist
- recommend changes that are unnecessary or risky
For simple troubleshooting, AI can be a helpful starting point. For more technical fixes, it is a good idea to verify the instructions using official documentation or another reliable source.
Be especially careful before:
- editing the Windows Registry
- deleting system files
- changing security settings
- running unfamiliar Command Prompt or Terminal commands
- disabling antivirus protection
- installing unknown software
If you do not understand what a troubleshooting step will change, it is okay to stop and get more information before continuing.
Change One Thing at a Time
When troubleshooting, try not to change several things at once.
For example, imagine you:
- change a setting
- reinstall a program
- disable an extension
- restart your computer
- change your network settings
and then the problem goes away.
You now have no idea which step actually fixed it.
Instead:
- Make one change.
- Test the problem again.
- Notice what happened.
- Move to the next step if necessary.
This makes troubleshooting much easier to understand.
Know How to Undo a Change
Before changing an unfamiliar setting, ask:
- Can I undo this?
- Do I know what the current setting is?
- Should I take a screenshot first?
- Am I deleting something or simply turning it off?
Taking a screenshot before changing settings can be especially helpful.
If the new setting creates another problem, you have a record of how it was configured before.
Know When to Stop
You do not have to fix every computer problem yourself. Some issues are better handled by technical support or someone with more experience.
Stop and ask for help if:
- you may lose important data
- you suspect malware
- the problem involves account or financial security
- the computer is physically damaged
- instructions tell you to delete system files
- you are being asked for administrator credentials you do not understand
- the fix requires system changes you are uncomfortable making
- you are using a work computer and do not have permission to make changes
If you are troubleshooting a work computer, your company may also have specific IT policies.
When in doubt, contacting IT may be safer than changing system settings yourself.
A Simple Troubleshooting Sequence
When something is not working, you can use this checklist:
- Stop and notice what happened.
- Read the error message.
- Check for obvious problems such as typos or disconnected devices.
- Try the action again once.
- Close and reopen the program.
- Restart the computer if appropriate.
- Determine whether the problem affects one thing or everything.
- Think about anything that recently changed.
- Search the exact error message or symptoms.
- Use reliable sources to verify possible fixes.
- Change one thing at a time and test again.
- Ask for help if the solution could affect security, important data, or system settings.
You may not need every step for every problem. The goal is to follow a logical process instead of randomly trying things.

Example: A Website Will Not Load
Imagine you open your browser and a website will not load. Instead of immediately assuming your internet is broken, you could work through the problem:
Step 1: Try refreshing once
The website may have temporarily failed to load.
Step 2: Read the error message
Does the browser say:
- no internet connection
- page not found
- connection timed out
- connection is not private
Those messages point to different possible problems.
Step 3: Try another website
If another website loads normally, your internet connection is probably working. The problem may be limited to the original website.
Step 4: Try another browser
If the website works in Edge but not Chrome, the issue may be related to Chrome.
Step 5: Search the error message
If you received a specific error, search its exact wording along with the name of your browser.
At each step, you are learning something about the problem.
That is what troubleshooting is really about.
Example: A File Will Not Open
You can use the same process with a file.
If a file will not open:
- Read any error message.
- Check the file type or extension.
- Try opening another file of the same type.
- Make sure you have a program that can open that type of file.
- If it was downloaded, make sure the download completed.
- Search the exact error message if one appears.
Again, the goal is not to immediately know the answer.
The goal is to gather enough information to narrow down the cause.
Troubleshooting Is a Skill You Build
Experienced computer users do not necessarily know how to solve every problem they encounter. What they often know is how to investigate.
They notice what happened, read the clues, try simple fixes, search effectively, test one change at a time, and recognize when they need more help. The more often you practice this process, the easier it becomes.
You do not need to memorize every possible computer problem. Learning how to work through problems logically can help you become much more confident when something does not work the way you expected.
